• Payment information — we do not store payment card details; payments are processed directly via UPI, bank transfer, or payment gateway
• Business information — name of your business or brand, if applicable

1.2  Information We Collect Automatically

• Website usage data — pages visited, time on site, links clicked, browser type, and device type
• IP address — for security monitoring and analytics
• Cookies and tracking data — as described in our Cookie Policy

1.3  Information Collected During Service Delivery

• Photographs and video footage — images or video of you, your property, or your products captured during a shoot
• Event details — dates, venues, and guest information shared with us for event coverage
• Correspondence — emails, WhatsApp messages, and other written communications between you and Craften Studio

2. How We Use Your Information

Craften Studio uses your personal information only for the following purposes:

• To process and confirm your booking and provide the Services you have requested
• To communicate with you about your Project, including scheduling, planning, and delivery
• To deliver final files and Deliverables to you
• To process payments and issue receipts or invoices
• To respond to your inquiries and provide customer support
• To improve our Services, website, and processes based on general usage patterns
• To send you relevant updates about your Project or service changes
• To comply with applicable legal obligations

We do not use your personal information for unsolicited marketing communications without your explicit consent. We do not sell, rent, or trade your personal information to any third party.

3. Photographs, Video, and Portfolio Use

3.1  Craften Studio may use photographs and video produced for Clients as part of our portfolio, website, social media channels, and marketing materials, as stated in our Terms and Conditions.

3.2  If you do not wish your content to appear in our portfolio or marketing materials, you must request this in writing at the time of booking. We will acknowledge your request in writing.

3.3  Portfolio use is limited to showcasing the creative quality of our work. We will not use your personal images in a manner that is misleading, defamatory, or harmful to your reputation.

3.4  For wedding and personal event content, we are especially sensitive to your privacy. We will seek your explicit written consent before featuring wedding or personal event content on our public channels.

4. Sharing Your Information

Craften Studio does not share your personal information with third parties except in the following limited circumstances:

• Service collaborators — we may share relevant project details with photographers, videographers, editors, or other creative professionals engaged on your Project on a confidential, need-to-know basis only
• Technology service providers — we use third-party platforms such as cloud storage services, file transfer tools, and website hosting. These providers are selected for their security standards and process data only on our behalf
• Legal requirements — we may disclose your information where required by law, court order, or government authority
• Business transfer — in the unlikely event of a sale, merger, or transfer of Craften Studio’s business, Client data would be transferred to the acquiring entity subject to equivalent privacy protections

In all cases where we share your data with third parties, we ensure that appropriate confidentiality obligations are in place.

5. Data Storage and Security

5.1  Your personal information is stored on secure digital systems. We implement reasonable technical and organisational measures to protect your data against unauthorised access, loss, destruction, or alteration.

5.2  Project files and Deliverables are stored on cloud-based systems. Once Deliverables have been delivered to you and the 90-day post-delivery storage period has elapsed, files may be permanently deleted from our systems.

5.3  While we take data security seriously, no digital system is completely immune from risk. You acknowledge that your transmission of personal information to us is at your own risk, and we encourage you to take reasonable precautions on your end.

5.4  In the event of a data breach that affects your personal information, we will notify you as soon as reasonably practicable and take all reasonable steps to contain and address the breach.

6. Data Retention

6.1  We retain your personal contact information (name, email, phone number) and booking records for a period of 3 years following the completion of a Project, for legal, accounting, and customer service purposes.

6.2  Project files and Deliverables are retained for 90 days post-delivery. After this period, files may be deleted. Clients are responsible for downloading and maintaining their own backups.

6.3  Communications (email, WhatsApp) may be retained for up to 2 years for reference and dispute resolution purposes.

6.4  You may request deletion of your personal information at any time (subject to Clause 6.1 and legal obligations) by contacting us in writing.

7. Your Rights

You have the following rights in relation to your personal information held by Craften Studio:

• Right to Access — you may request a copy of the personal information we hold about you
• Right to Correction — you may request that we correct any inaccurate or incomplete information
• Right to Deletion — you may request that we delete your personal information, subject to legal retention obligations
• Right to Withdraw Consent — where processing is based on your consent, you may withdraw consent at any time. Withdrawal does not affect the lawfulness of processing prior to withdrawal
• Right to Opt Out of Portfolio Use — you may request at any time that Craften Studio remove your content from its portfolio materials

10.2  For photography or videography involving minors (such as birthday events or family occasions), we require written consent from a parent or legal guardian before capturing or using images of the minor in any deliverable or portfolio material.
